Optavo Privacy Policy

Optavo ("we", "our", "us") provides a mobile application for construction workforce management, including clock-in/out, timesheets, safety checklists, machine tracking, and team communication. This policy explains what information we collect through the Optavo app and how we use it.
1. Information We Collect
We collect the following categories of information as part of normal app use:
- Account and profile information: your account is created by your company administrator, who provides basic details such as your name, email, phone number, job role, and company affiliation. You may add or update additional profile information yourself, such as a profile photo or other personal details, directly within the app.
- Work records: clock-in/out times, timesheets, approvals, machine and site assignments, and safety checklist responses.
- Photos and videos: images or videos you capture or upload for safety checklists, machine defect reports, certificates, or team chat.
- Chat content: text messages, images, videos, and voice messages you exchange directly with other members of your own company within the app's team chat feature. This content is only visible to the participants of that conversation and is not shared outside the app.
- Device and usage data: device type, operating system version, app version, crash logs, and general usage analytics, used to maintain and improve app performance.
- Push notification tokens: used solely to deliver in-app notifications and announcements to your device.
Optavo does not collect or track your device's GPS or precise location at any time.
2. How We Use Information
- To operate core features: clock-in/out, timesheets, approvals, machine and safety tracking, and chat.
- To enable managers and site supervisors to review and approve work records within their own company.
- To send you relevant push notifications and in-app announcements.
- To maintain security, prevent misuse, and troubleshoot technical issues.
- To improve app performance and reliability.
3. How Information Is Shared
Information is only visible within your own company's account, according to your assigned role and permissions. We do not sell your personal information. We may share information with:
- Infrastructure and service providers that host our servers, storage, and push notification delivery (e.g. cloud hosting and Firebase Cloud Messaging), strictly to operate the app.
- Authorities, only where required by law.
4. Data Retention
We retain account, work record, and chat data for as long as your company's subscription is active, or as required to meet legal and record-keeping obligations for workplace safety and timesheet data. You may request deletion of your account and associated personal data at any time (see Section 6).
5. Data Security
We use industry-standard encryption (HTTPS/TLS) for all data transmitted between the app and our servers. Access to company data is restricted based on user roles and permissions.
6. Your Rights
You may request access to, correction of, or deletion of your personal data by contacting us at the email below. Account deletion requests are processed by removing your personal information from active systems, subject to any legal retention requirements.
7. Children's Privacy
Optavo is a workplace application intended for use by employed adults and is not directed at children. We do not knowingly collect information from anyone under the age of 16.

We may update this policy from time to time. Material changes will be reflected by updating the "Last updated" date above.
